The situation

A practice with a compelling story and no clear way to tell it online.

A physical therapy practice came to us at a plateau. They were good at what they did and good at keeping their patients, but physical therapy has a natural endpoint: patients get better and move on. The practice needed a steady stream of new patients to replace the ones who had graduated, and their marketing wasn’t producing it. Their Instagram was active but not connecting, their website was outdated and missing a clear path for someone to become a patient, and the two weren’t working together in any meaningful way. They weren’t in crisis, just stuck at 60% capacity with no clear way to grow.

When your patients graduate, that’s the win. The marketing’s job is to make sure someone new is always ready to take their place.

What we diagnosed

A strong story with no funnel to carry it

The practice had a genuine differentiator that wasn’t coming through where it mattered most. The practitioner had been through a major surgery and recovery themselves, which gave them a unique understanding and deep empathy for their patients’ pain. They were sharing that story on Instagram, but not on their website. This gave potential patients an inconsistent experience and a moment to rethink signing up while going through the marketing funnel.

On Instagram, the content itself was the other problem. Heavy use of complex Canva templates with competing elements and animations were overwhelming potential patients rather than gaining genuine connection. The audience wasn’t responding because the content was pushing potential patients away rather than drawing them in. The fix wasn’t to look like everyone else. It was to strip back the visuals and let the practitioner’s real voice and story come through, which builds trust with patients considering physical therapy.

Their marketing foundation wasn’t broken entirely. The story existed, it just wasn’t in the right places, told in the right way.

What we built

A website that converted, content that connected, and a funnel that finally worked end to end.

Website rebuild

A clear patient journey, strong CTA, and a patient qualifier form helped both sides determine fit.

Instagram direction

We guided the practice away from overwhelming templates toward simple content that let their real story come through.

Connected funnel

Instagram drove traffic to a website that was finally built to convert that traffic into booked appointments.

We rebuilt the website with a clear patient journey, a strong call to action, and a patient qualifier form that helped both the practice and prospective patients determine fit before a first appointment. The new site gave the Instagram traffic somewhere to land and a clear customer path once potential patients got there.

On Instagram, we didn’t take over the account. Instead we worked with the practitioner directly to simplify their content approach, moving away from overcomplicated templates toward clean, simple reels that let their real story come through. The shift wasn’t about posting more or spending more time on content. It was about creating clarity in their content so the what they posted could truly connect.

What changed

The result of fixing the right things in the right order.

60%→100%

Capacity within a few months of fixing the marketing foundation

They were fully booked and too busy to attend meetings with us anymore.

Hired help

Practice grew so fast they needed additional staff to keep up with demand

The Instagram content started performing better as the simpler approach resonated with the audience they were already building. The website converted that traffic into appointments instead of letting it disappear. And the practitioner’s genuine story, their own experience of recovery, became the thing that made new patients choose them over someone else.

They got so busy that they had to hire additional help in the practice and eventually didn’t have time to meet with us anymore. That’s the outcome we’re most proud of.

The outcome

When the right story reaches the right people through the right channels.

This result is as clear as it gets. A practice stuck at 60% capacity went fully booked within a few months because the marketing finally matched the quality of the care being delivered. Their unique story was always there. It just needed to be in the right place, told in the right way, with a clear path for new patients to say yes.
